About the Party Planner Calculator
Estimates how much food, drinks and ice to provide for a party based on guest count and event length, using typical per-guest guidelines.
How to use
Enter the number of guests and party hours, then click Calculate.
Worked example
20 guests for 4 hours → ~120 drinks, ~120 appetizers, ~10 kg ice.
How to use this calculator
- Enter the number of guests attending the party.
- Choose the food or drink item you want to estimate.
- Set the amount per guest based on the serving size or your party plan.
- Review the total and round up if you want a little extra.
The formula explained
$$ \text{total needed} = \text{number of guests} \times \text{amount per guest} $$
- \(\text{total needed}\) = the total amount of food or drinks to prepare
- \(\text{number of guests}\) = how many people are attending
- \(\text{amount per guest}\) = the planned serving per person
Step by step method
- Start with the guest count, since that is the main number the calculator uses.
- Pick a serving amount for each person, such as pieces, cups, ounces, or bottles.
- Multiply the guest count by the per guest amount to get the total needed.
- If you want a buffer for seconds, spills, or last minute guests, add a little extra after calculating.
Worked example
Suppose you are hosting 18 guests and want to plan 2 cups of punch per person.
- Use the formula \(\text{total needed} = 18 \times 2\).
- Multiply to get \(36\) cups of punch.
- If you want a little extra, you might round up to plan for 38 or 40 cups.
Answer. 36 cups of punch
Tips and common mistakes
- Be clear about the unit you are using, such as pieces, cups, ounces, or bottles.
- Check whether the serving amount is per person, per adult, or per child.
- Round up when the item is easy to store or keep for later, like drinks or snacks.
- For mixed-age parties, you may want different amounts for adults and children.
